VES Parent / Teacher Organization (PTO)

Vestaburg Elementary’s PTO is a volunteer group dedicated to supporting our students, teachers, and community. We are dedicated to supporting our school and enhancing the educational experience. We invite you to become involved to make this school an even better place.

Each year The Vestaburg Elementary PTO with help from the community raises funds for grades K-5 to get out of the classroom for fun and learning on their field trips.

Our goal is to provide all students and parents with a chance to have fun with their community. We hope to provide great experiences and memories that will last forever.  We host events like; The Walkathon, Pam’s Pantry Dip Mix, The Holiday Store, Cookie Dough Fundraiser, and Fun Fridays. We are always looking for extra hands to help us out at these events. If you are interested in volunteering or supporting the VES PTO please contact Cynthia Hillary, Elementary Principal.

Name

The name of this organization is the Vestaburg Elementary Parent Teacher Organization  (PTO) in Vestaburg, Michigan. Located at 7188 B Ave, Vestaburg MI 48891

Description

The PTO is a nonprofit organization that exists for charitable educational and scientific purposes, including the making of distributions to organizations that qualify as exempt organizations under section 501 (c)(3) of the Internal Revenue Code.

Purposes

The purpose of this PTO is to enhance and support the educational experiences at vVestaburg Elementary School, to develop a closer connection between school and home by encouraging parent involvement, and ti improve the environment at Vestaberug Elementary School through volunteer and financial support. 


Membership shall be automatically granted to all parents and guardians of Vestaburg Elementary School students plus all staff at Vestaburg Elementary School. There are no membership dues. Members have voting privileges, one vote per household.

The Executive Board

The Executive Board shall consist of the following offices: President, Vice President, Recording Secretary, Tresause office positions can be shared. The elementary school principal or his/her designee, is a voting member of the executive board.

Terms of Office

The term of office for all officers is two years, beginning August 1st and ending July 31 of that the appropriate year. 

Qualification

Any PTO member in good standing may become an officer of the PTO.

Duties Executive Board

Develop the PTO’s annual budget, establish and oversee committees to conduct the work of the PTO, establish fundraising programs, and approve by majority vote of the board unbudgeted expenditures of no more than $100.00.

President

Preside at general PTO meetings and Executive Board meetings, serve as the official representative of the PTO and retain all records of the PTO.

Vice President

Oversees the committee system of the PTO, assists the president, and chairs meetings in the absence of the president. 

Recording Secretary

Record and distribute minutes of all Executive Board meetings and all general PTO meetings, prepare agendas for the official PTO meeting, and hold historical records of the PTO. 

Treasure

Sever as custodian of the PTO finances, collects revenue, pays authorized expenses follows all financial policies of the PTO, and holds all financial records. 

Board Meetings

The Executive meetings shall meet monthly during the school year or at the discretion of the president. 

Removal

An officer can be removed from office for failure to fulfill his/her duties, after reasonable notice, by a majority vote of the Executive Board.

Vacancy

If a vacancy occurs on the Executive Board, the President shall appoint a PTO member to fulfill the vacancy for the remainder of the office term.

General PTO Meetings

A General PTO meeting shall be held to conduct the business of the PTO. Meetings shall be held monthly during the school year or at the discretion of the Executive Board.

Voting

Each member in attendance at the PTO meeting is eligible to vote. one vote per household. Absentee and proxy votes are not allowed.

Quorum

Three (3) members of the PTO present and voting constitutes a quorum for the purpose of voting.

Fiscal Year

The fiscal year of the PTO begins on August 1 and ends on July 31 of the following year.

Banking

All funds shall be kept in a checking account in the name of Vesetaburg Elementary PTO, requires two signatures of the Executive Board, and held in a local financial institution.

Debit cards (2) are given to the president and Ashley Artnz, they are free to spend no more than $100.00 for incidental purchases as needed without needing to hold a formal meeting. That money spent will be reported at the next board meeting.

Reporting

All financial activities shall be recorded in a computer-based or manual accounting system. The treasurer shall reconcile the account(s) monthly and report all financial activity monthly. The PTO shall arrange an independent review of its financial records each year.

Ending Balance

The organization shall leave a minimum of $2,000 in the treasure at the end of each fiscal year.

Contracts

Authority to sign contracts is limited to the President or the president designee (Ashley Artnz).

Amendments to the bylaws may be proceeded by any PTO member. Amendments presented at a PTO meeting shall be considered for voting at a subsequent meeting. Two-thirds (⅔) approval of all members present and voting is required to adopt an amendment to the bylaws.

In the event of dissolution of the PTO all funds remaining shall be given back to the Vestaburg Elementary School.

The authority for the organization shall be Roberts Rule of Order Newly Revised.
